What counts as fast

A good response time is under 12 hours

Every mailbox contributes its own average response time, and the spread across mailboxes defines what is normal. Under 12 hours puts a mailbox in the fastest 25%. The typical inbox takes 18.4 hours, three quarters answer within 26.6 hours, and averaging more than 37.2 hours puts a mailbox in the slowest 10%. The mean across mailboxes is 21.4 hours, pulled up by that slow tail.

Trend 2021-2026

Email got 20% slower in 2024 and never went back

The typical mailbox took about 16 hours to reply every year from 2021 to 2023. In 2024 that jumped to 19.5 hours, a 20% slowdown in a single year, and it has stayed around 19 hours since. The whole distribution moved together: the fastest quarter, the median and the slowest quarter all slowed down.

Over the same period, the share of incoming mail that never gets a reply rose from 89.5% in 2021 to 92.4% in 2026. More volume and more automated outreach may explain part of it. The data shows the change, not its cause.

By industry

Logistics answers in 15 hours. Nonprofits take a full day.

Operational, deadline-driven industries reply fastest: logistics at 15.2 hours and hospitality at 16.2 hours. Most sectors sit between 17 and 20 hours. Legal (20.8 hours) and nonprofits (24.9 hours) are the slowest, and nonprofits are the only sector where the typical inbox needs more than a day.

The 24-hour rule

People are either quick or silent

"Answered within 24 hours" depends on what you count. Of the messages that get a reply, the typical mailbox answers 86.6% within 24 hours. Of everything a mailbox receives, excluding automated mail, only 7.4% gets a reply within 24 hours, because most mail never gets a reply at all.

86.6%

answered in under 24 hours. When an email gets a reply, it usually comes fast.

Of all incoming mail
7.4%

of non-automated messages answered in under 24 hours.

By industry, manufacturing sends the largest share of its replies within 24 hours (91.8%) and financial services the smallest (85.2%). These figures come from a subset of mailboxes where each reply is timed individually. Counting only the first reply to each message, the typical mailbox in that subset answers in 15.7 hours.

Tools and team setup

Gmail and Microsoft 365 reply at the same speed

Gmail and Microsoft 365 mailboxes are 25 minutes apart on the median, measured separately. Shared mailboxes such as support@ or info@ reply about an hour faster than individual inboxes, which fits with several people covering the same inbox. The shared-mailbox sample is small, so read it as a direction.

Personal inboxes barely reply at all

We kept personal addresses (@gmail.com, @outlook.com) out of the headline figures. Measured separately across more than 20,000 of them, the typical personal inbox answers 0.7% of what it receives, against about 1 in 10 for business inboxes. Business email is still where conversations happen.
